This Privacy Policy describes how ReVloom handles information for the small businesses that use our review management tools. Please read it alongside our Terms of Service.
1. Introduction
ReVloom ("ReVloom," "we," "us," or "our") provides software that helps small businesses draft, manage, and improve replies to customer reviews using artificial intelligence. This Privacy Policy explains what information we collect, how we use and share it, how long we keep it, and the choices and rights you have.
This policy applies to our website, web application, and related services (collectively, the "Service"). By using the Service, you acknowledge that you have read and understood this policy.
ReVloom is currently offered as an early access / beta product. Features may change, be modified, be removed, or be discontinued, and workflows, functionality, integrations, pricing, and data structures may evolve over time as development progresses. You acknowledge that the Service, and the data practices described here, may continue to change as the product matures. We will update this policy as needed and revise the "Last updated" date below.
2. Information we collect
We collect information in three broad categories: information you provide directly, information we collect automatically, and information we receive from third parties.
Information you provide to us includes:
- Account and contact details such as your name, email address, business name, and password or authentication credentials.
- Early access sign-up information, including the email address you submit to join the waitlist.
- Business and review context you choose to share so we can generate replies — for example, the text of customer reviews, your preferred tone and voice, and notes about your business.
- Billing and payment information processed through our payment provider (see "Payments and Stripe" below). We do not store full card numbers on our systems.
- Communications you send us, including support requests, feedback, and survey responses.
Information we collect automatically includes device and browser type, IP address, pages visited, referring URLs, approximate location derived from IP address, and usage and diagnostic data collected through cookies and similar technologies.
Information from third parties may include data from integrations you connect (such as a Google Business Profile or analytics provider) and information from our service providers that help us operate, secure, and improve the Service.
3. How we use information
We use the information we collect to:
- Generate AI-assisted reply drafts based on the context you provide.
- Operate, maintain, secure, and improve the Service.
- Create and manage your account and process payments.
- Respond to your support requests and communicate with you about the Service.
- Send product updates, early access announcements, and (where permitted) marketing messages you can opt out of at any time.
- Monitor for fraud, abuse, and violations of our Terms of Service.
- Comply with legal obligations and enforce our agreements.
You remain in control of what is published. ReVloom produces drafts; you review, edit, and decide what to send. We do not automatically publish content on your behalf without your action.
4. AI processing of your content
Reply drafts are generated using artificial intelligence models, which may be operated by us or by third-party AI providers acting on our behalf. To generate a draft, the relevant review text and context you provide are processed by these models.
ReVloom does not use customer content to train publicly available artificial intelligence models unless explicitly disclosed and permitted by applicable law. Where we use third-party AI providers, we seek to work with providers that maintain appropriate confidentiality and security commitments, and we do not sell your content.
AI-generated output may contain inaccuracies, omissions, or language that does not reflect your intent. You remain responsible for reviewing, editing, and approving any generated content before it is published. ReVloom acts as a drafting and assistance tool rather than a publisher, and you decide what is ultimately sent on your behalf.
5. Connected accounts and integrations
The Service lets you connect third-party accounts and services, such as a Google Business Profile. When you connect an integration, you authorize ReVloom to access, process, store, display, and synchronize the information made available through that integration solely for the purpose of providing the Service and the features you have enabled.
You stay in control of your integrations:
- You choose which integrations are connected and can disconnect them at any time.
- Disconnecting an integration may disable or limit related functionality within the Service.
- We only access the data necessary to provide the connected features you have enabled.
Where applicable, ReVloom's use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including applicable Limited Use requirements.
6. Ownership of your content
You retain ownership of all content you submit to the Service. Customer reviews, business information, account information, and business context you provide remain the property of you or your organization.
You grant ReVloom a limited, non-exclusive, royalty-free license to host, process, store, transmit, display, and analyze submitted content solely for the purpose of operating, maintaining, securing, and improving the Service. This license exists only to allow us to provide the Service to you and ends when the content is deleted, except for copies retained as described in the data retention and deletion sections below.
7. Cookies and tracking technologies
We use cookies, local storage, and similar technologies to keep you signed in, remember your preferences, understand how the Service is used, and improve performance. You can control cookies through your browser settings, though disabling some cookies may affect functionality. Where required by law, we will request your consent before setting non-essential cookies.
8. How we share information
We do not sell your personal information. We share information only in the following circumstances:
- Service providers and processors who help us host, operate, secure, analyze, and support the Service, under contractual confidentiality obligations.
- Payment processors (such as Stripe) to handle billing and subscriptions.
- AI providers that process content to generate reply drafts on our behalf.
- Integrations you choose to connect, limited to the data necessary for that integration to function.
- Legal and safety purposes, such as complying with applicable law, responding to lawful requests, or protecting the rights, property, and safety of ReVloom, our users, or others.
- Business transfers, as described in the "Business transfers" section below.
ReVloom is an independent service and is not affiliated with, sponsored by, or endorsed by Google or any other review platform.
9. Service providers and subprocessors
To operate the Service, we rely on trusted third-party infrastructure and service providers that process information on our behalf. These providers help us deliver core functionality and may include categories such as:
- Hosting and cloud infrastructure providers
- Database and storage providers
- Payment processors
- Authentication providers
- Analytics providers
- AI providers
These providers may process information on ReVloom’s behalf and only as necessary to provide their services to us, under confidentiality and security obligations. We seek to engage providers that maintain appropriate safeguards consistent with this policy and applicable law.
10. Third-party integrations and links
The Service may integrate with or link to third-party products, including review platforms, analytics tools, and payment providers. Those third parties operate under their own privacy policies and terms, and we are not responsible for their practices. We encourage you to review the privacy policies of any third-party services you connect or visit.
11. Data retention
We retain personal information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements.
Review context and reply drafts are retained to provide history and improve your experience, and are deleted or anonymized within a reasonable period after they are no longer needed or after you delete them or close your account, subject to backup and legal retention requirements. Account and billing records may be retained for the period required by applicable tax and accounting laws.
12. Your rights and choices
Depending on your location, you may have rights to access, correct, update, port, restrict, or delete your personal information, and to object to certain processing. You can exercise these rights by emailing us at the address below. We will respond within the timeframe required by applicable law and may need to verify your identity before acting on a request.
You may request deletion of your account at any time. When you do, we will delete or anonymize your information where legally permissible. Certain records may be retained where required for legal, tax, accounting, security, fraud prevention, or compliance purposes, or to resolve disputes and enforce our agreements.
You can also unsubscribe from marketing emails at any time using the link in those messages. Some transactional or account-related communications are necessary to provide the Service and cannot be opted out of while your account is active.
13. Regional privacy rights
Residents of certain jurisdictions, including California, may have additional rights regarding their personal information, such as the right to access the information we hold, request correction or deletion, request data portability, and receive disclosures about the information we collect and how it is used or shared.
You may exercise any of these rights by contacting ReVloom at the address below, and we will not discriminate against you for doing so.
California residents may have rights under applicable California privacy laws, including rights to know, access, correct, delete, and obtain information about how personal information is collected, used, and disclosed.
14. Data security
We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, and alteration. You are responsible for keeping your account credentials confidential.
However, no internet transmission or electronic storage system can be guaranteed to be 100% secure, and we cannot guarantee absolute security. You acknowledge and accept this inherent risk when using online services.
15. International data transfers
We may process and store information in countries other than the one in which you reside. Where we transfer personal information across borders, we take steps to ensure it receives an adequate level of protection consistent with applicable law.
16. Business transfers
As our business evolves, your information may be transferred as part of a corporate transaction. In the event of a merger, acquisition, financing, sale of assets, reorganization, or similar transaction, information may be transferred to a successor or affiliated entity as part of that transaction.
In any such case, the transferred information will remain subject to the protections described in this Privacy Policy, and we will take reasonable steps to ensure your information continues to be protected.
17. Children's privacy
The Service is intended for businesses and is not directed to children under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can delete it.
18. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will revise the "Last updated" date and, where appropriate, provide additional notice. Your continued use of the Service after an update constitutes acceptance of the revised policy.
